Send and Manage Proforma & Packing List Requests in Office

📦 Requesting a Proforma from Another Company

Companies with commercial access can send a proforma request to a Manufacturer or Supplier whose products are included in the project. Here’s how:

  • Complete the Specification.

  • Click the Request Proforma button and confirm your action.

  • The request is sent to the product owner via email and Messenger.

  • Upon acceptance, the project segment is added to the recipient’s Office, where they can generate the proforma.

  • The Client field in the proforma will automatically be filled with your company’s details from Office settings.


🚀 Sending and Confirming Proformas

After creating the proforma, the supplier:

  • Clicks Send Proforma to send the document.

  • The proforma appears in the requesting company’s Back Office.

  • Notifications are sent via email and Messenger.

To confirm:

  • Click Confirm Proforma to finalize the document. It becomes read-only and marked as confirmed.

  • To make changes, a new project revision must be created, and a new proforma requested.

After confirmation:

  • The segment status updates to Completed.

  • Once all segments are confirmed, the project status updates to Completed.

  • The Packing List tab becomes available for organizing shipments.


📦 Sending the Packing List

Once all fields are filled in the packing list:

  • Click Send Packing List to send the document to the requesting company.

  • The packing list appears in the company’s Back Office.

  • The document can be saved as a PDF or shared via a public link.

  • The link can be shared via Messenger, email, or other channels. Both registered and unregistered users can view the document in read-only mode.

After sending the packing list, the segment is considered complete, and the deal is closed.
