How to Collaborate with Partners in Office

A detailed guide on navigating the collaboration chain in Flameplace, from partnerships to project completion.

🔗 The Collaboration Chain in Flameplace

The collaboration chain starts with building partnerships and continues through Studio and Office. Let’s dive into a typical supply chain:

  • Client: Starts a draft project, adds products from different brands, and invites a Designer.

  • Designer: Flameplace analyzes brands in the project and suggests Designers with strong partnership histories, prioritizing those with more brand partnerships and higher ratings.

  • Supplier(s): After project refinement, the Designer or Client invites one or more Suppliers to handle supply segments. Flameplace recommends Suppliers similarly, based on brand partnerships.

  • Agency: If a Manufacturer works through an Agency, any request for proformas or packing lists is automatically routed to the Agency. The Agency reviews and, if necessary, adjusts the request before forwarding it to the Manufacturer.

  • Manufacturer(s): Suppliers request proformas and packing lists directly from Manufacturers. This ensures all relevant supply documents are generated and shared correctly.

Communication

All parties (Designer, Supplier, Agency, Manufacturer) can discuss details in Messenger chats and public project discussions.


📑 The Flow of Documents

  • Proforma: Created by the Manufacturer and sent back to Suppliers and Designers. Suppliers then generate client proformas and send them to Designers and Clients. Suppliers handle these documents in their Back Office (procurement side) and generate client proformas in their Front Office (sales side).

  • Packing List: Once confirmed, the proforma is followed by the packing list, which moves back to Agencies and Suppliers.

  • Finalization: When all proformas are confirmed, the project segment status updates to Completed, and then the entire project is marked Completed.


📝 Revisions and Approvals

  • If changes are needed for the project, create a new project revision.

  • Only the segments with changes require new proforma requests.

  • Confirmed segments lock and are not editable, ensuring data integrity.
